Start with the message you need.

Open Claude and start a chat. Type an instruction that names the task and the result you want. For this exercise, turn a few approved notes into a clear reply to a general question about a showing.

Remove private information before sharing your notes. Separate confirmed details from unanswered questions. Do not ask Claude to invent availability, property details or commitments.

Give it the facts and your voice.

Tell Claude what is confirmed, how long the reply should be and how you want it to sound. Replace the bracketed text in this prompt.

Try this prompt

Help me draft a short reply to this general showing question: [question with identifying details removed]. Confirmed information: [approved facts]. Still unknown: [items I need to verify]. Write in a warm, direct, conversational tone. Do not invent availability, promises or property details. Keep the reply under 100 words, then list anything I should verify before sending.

Make the first draft sound like you.

Read the reply aloud. Ask for a specific edit if it sounds formal, repeats the question or buries the next step. A useful revision request explains what to change while keeping the facts fixed.

Check that an unknown stayed unknown. If the message would require you to promise a time or action, make that decision yourself before adding it.

Make this more conversational. Shorten the first sentence, remove sales language and finish with one clear question. Keep all confirmed information unchanged.

Keep the useful parts.

Save the instruction and your final edited version as a reusable starting point. Use a fresh approved fact sheet for each conversation. Never assume the next person's situation matches the last one.

Your next practice: ask Claude for two versions of the same reply, one shorter and one with a little more explanation. Choose the version that makes the next step clearest.

  • Facts and unanswered questions stay separate.
  • There are no invented appointments or promises.
  • The wording sounds like you.
  • You approve the final reply before sending.
